When you’re large, your backend can become very messy. You’re not only considering your supply chain but all the data that needs to be sifted and dealt with. Even the best general purpose software is, well, generic.

You’ll always reach a point with your general purpose software where its use will become a bottleneck – there will only be a limit to what it can be pushed to achieve. This is where specialised software comes in.

Here’s how specialised software will make a huge difference ( and how you can make the most of it):

1. Your workflows are addressed directly

Instead of adapting your system to match how you work, specialised software is designed to fit with your workflows, meaning you’ll avoid cumbersome workarounds or a band aid approach. For example, instead of you or a member of your finance team manually re-conciliating your accounts every week, you could buy an accounting program that handles this process for you. Rather than adapt a new system to an agile development process, buy a project management tool already configured to an agile structure.

2. The focus is on depth over breadth

General purpose software will typically have the capacity to do dozens of functions but specialised software will go into immense depth in one specific area. You may want to invest in a real estate CRM (client relationship management) software designed for real estate agents, complete with industry-specific processes such as managing listing cycles and follow up schedules. Even the very best tool is only as good as the staff operating it. Any new specialist software you choose might have a steep learning curve so make sure that you account for training and onboarding costs and time into your purchase plans, or alternatively ensure the supplier has an adequate training package to offer.

7. Check for Data Security seriously

Chances are the new software you choose will house sensitive data – be that from clients or internally. Check up on the software provider’s security protocols, compliance certficates and data security measures to ensure that you are not opening your business up to risk.

8. Don’t always go for the most popular

The newest piece of software on the block will always be the most appealing but when faced with complexity you need to focus on solutions that directly tackle your specific issues rather than a general offering that is popular, but potentially unable to fulfil your every requirement. A smaller, less well-known vendor might actually be far superior for a particular function.

When complexity arises and calls for solutions that can simplify a difficult or potentially error prone process, generic software solutions simply won’t suffice. Specialised software has the potential to transform your complex, or potentially error-prone, operations into smooth-running efficiency and automation.

By taking the time to select the right solution, with adequate training, integration and data security you’ll ensure you’re making the right call.
